The firm administrator's guide
The Firm Admin page in the Companion is where one person at your firm adds colleagues and keeps the seat board honest. This page explains each card and what it does — and does not — touch.
Two roles
Every account at your firm is an engineer or a firm admin. Engineers draft: they sign in, take a seat and draft. Firm admins do everything an engineer does and also see the Firm Admin page. A firm has at least one admin — the person who set the firm up — and an admin can make any engineer an admin, or step an admin back to engineer, with one button on that person's row.
Adding someone
Add someone takes an email address, a first and last name and the role, and Invite sends it. The Companion emails them their username and a link to choose their own password; nobody at Nutechna and nobody at your firm ever holds a password that could be read back. The link is shown to you once as well, in case the email does not arrive — it is not stored anywhere, so if it is lost, use Reset link on the person's row to issue a new one.
A colleague who leaves is disabled, not deleted: their account can no longer sign in or take a seat, their history stays intact, and Enable brings them back if they return.
The seat board
Seats in use lists every machine holding one of your firm's seats right now — which machine, who is signed in on it, and when it last renewed its ticket. Seats are counted per machine, not per person, so an engineer with a desktop and a laptop shows twice while both hold seats.
Release frees a seat immediately. Use it for a machine that is gone for good — reimaged, retired, lost — not for one that is merely switched off: a machine that stops renewing returns its seat by itself about two hours later, and a released machine's user can check a seat out again when they need one. How seats, tickets and offline work are explained on How licensing and seats work.
A machine that must never lose its seat — a plotting station, a field laptop that sits in a truck between sites — can be pinned. A pinned seat never returns to the pool on its own. Pinning is set for you on request; write to support@nutechna.com with the machine's name as the board shows it.
What this page does not do
- It does not buy or remove seats. The seat count is set on your firm's license; write to us when the firm's rhythm changes and we adjust it.
- It does not touch drawings or projects. Those live on your own machines and are managed there.
- It does not show anyone's password, ever — there is nothing to show.
Questions we hear
- The invitation email never arrived.
- Use the setup link the page showed you when you added the person, or press Reset link on their row for a fresh one and send it to them yourself. Ask your mail administrator to allow mail from nutechna.com if this keeps happening.
- Someone left the firm. Should I release their seats?
- Disable the account first — that stops sign-ins. Their machines return their seats by themselves within about two hours; press Release only for machines that will never connect again.
- Can two people share one login?
- Please don't. What each person does is recorded against the account that did it, and a shared login makes that record meaningless. Accounts are free to add; seats are what the license counts.
